ADMINISTRATIVE ASSISTANT

              (ST. JOHN’S)

Reporting to the Executive Secretary, the Administrative Assistant is the first line of contact between NAPE, its membership and the many Employers and Organizations that NAPE interacts with. This role would complement a motivated individual who enjoys daily challenges of a fast-paced work environment.  Ideal for candidates who can demonstrate their ability to organize and deliver, work under pressure and represent their Union and its members. 

DUTIES AND RESPONSIBILITIES:

  • To act as a first point of contact for all members, taking inquiries and providing a high level of membership service;
  • To facilitate the operation of the St. John’s office, taking detailed messages and forwarding of phone calls to appropriate staff for engagement;
  • Provides advanced secretarial and administrative support of a highly confidential nature to  Membership Servicing Officers, Employee Relations Officers, Labour Relations Specialists;
  • Expertise in the use of Office 365;
  • Transcribes in typewritten form utilizing word processing at high rates of speed (60 wpm min.) with considerable importance to accuracy and completeness;
  • Maintains NAPE’s current filing system (hard copy and electronic) with ability to adapt to modifications when necessary;
  • Files and maintains resource materials for the Regional Office and is able to conduct electronic searches using Quick Law, Westlaw, etc.;
  • Participates in the distribution of membership correspondence/mailouts;
  • Performance of related administrative and receptionist tasks (i.e. prepares and sorts mail for distribution, ensures operation of phone system, voicemails, office equipment, etc.);
  • May be required to assist with a variety of union activities, registrations at meetings, convention preparation, etc.

QUALIFICATIONS:

  • Graduation from a post-secondary education facility with an emphasis on Office Administration or equivalent education and/or experience;
  • Thorough working knowledge of Microsoft Office 365 (particularly Outlook, Word and Excel);
  • Excellent telephone etiquette and ability to communicate with a range of members;
  • Knowledge of data protection policies;
  • Experience working in a membership organization and experience with a membership database;
  • Attention to detail;
  • Excellent organizational and time management skills;
  • Ability to work on your own initiative or as part of a team; and
  • Willingness to learn new skills.

SALARY AND BENEFITS:

Comprehensive salary and benefits package in accordance with the Staff Collective Agreement including participation in the Public Service Pension Plan.
